Take time off without your practice stalling
Patients are told ahead, every open item is handled before you leave, and coming back means working a clear list.

The situation
Direct access to one provider is what patients value in DPC, and it is what makes time off hard. In a solo or two-provider practice, you may be the only clinician available, so your absence is not just a gap in the schedule. It is a gap in who tracks every open task, pending follow-up and message that would normally land with you.
Most practices plan for emergencies and skip everything else: routine messages, refill requests, the referral awaiting review, the lab result pending interpretation. That is how a week away becomes a week-long backlog that takes another week to clear, or a vacation spent checking messages.
Steps
- Set the emergency path first Arrange a covering colleague, a locum for a longer absence, or for a short trip a clear instruction that anything urgent goes to urgent care or the ER. Share the plan in the Team view in Team Chat so whoever is covering knows it.
- Tell patients before you go Ask Sidekick to draft a notice with your dates, how to reach backup for anything urgent and when routine messages will be answered. Review it before it goes out. In Spruce, Sidekick sends it to one patient at a time after you select Send, so for a whole panel send it from your messaging system.
- Review every open item before you leave In Tasks, filter Assigned to to yourself and set Status to To do, which includes In progress and Waiting. For each referral awaiting review, prior auth needing a signature or lab result pending interpretation, decide whether it waits for you or needs someone else's eyes while you are out.
- Hand off or park each one Reassign what cannot wait to the teammate who will handle it, with a comment on where it stands. Anything that needs a clinical decision goes only to your covering clinician. For what can wait, say so in a comment and move Due on to your first day back, so staff are not guessing what is safe to leave.
- Come back to a list On your first day back, the work you parked surfaces in My Tasks by its Due on date. Ask Sidekick to summarize recent comments across the clinic on the Tasks you handed off, so you see what was handled without piecing it together.
The outcome
Patients know what to expect, nothing mid-progress sits invisible, and staff are not guessing what is safe to let wait. You get real time off, and the practice does not quietly stall until you are back.
