Pull together monthly ops numbers without a last-minute scramble

The situation

You want to know how the practice is running: whether tasks get done on time, how fast messages get answered, how work spreads across the team. The numbers exist somewhere. Response times may sit in the messaging platform, no-shows in the scheduling tool, task completion wherever tasks are tracked, and nothing pulls them together.

So the rollup gets built by hand from several systems, usually the day it is due. It is tedious and error-prone, which is why it keeps getting rushed or put off.

Steps

1. Pick your metrics once Choose the few numbers that matter, such as Tasks completed, overdue Tasks and work by teammate, plus any that live in other systems, like message response times or no-show rates. Keep the same set every month so the months compare.
2. Let Tasks capture the work as it happens Keep clinic work in Tasks with an owner and an honest status, and set each one to Done when it is finished. The counts are then already there at month end instead of rebuilt from memory.
3. Schedule the rollup In My chat, write an @Sidekick request for last month's counts, then select the caret beside Send, choose Custom, set Starts to the day you want and Repeat to Monthly, and select Schedule, then Send. Say across the clinic, or Sidekick may count only Tasks assigned to you, and if it says a count is capped or partial, ask for a shorter date range.
4. Compare with the last few months Ask Sidekick to put each month's numbers in a CSV, and paste them into your running sheet. A single month says little, while the trend shows whether something is improving, flat or quietly getting worse.
5. Use it for a decision Bring the rollup to a team meeting and settle one change in staffing, process or priorities. Make that change a Task with an owner and a Due on date, so the numbers lead somewhere.

The outcome

Month end becomes reading a summary instead of hunting through systems. The numbers compare cleanly month to month, and each rollup ends in a decision about how the practice runs.
