The fields that move work forward

Clear task details turn a short reminder into work that another teammate can confidently complete

FieldDescription
DescriptionThe action and expected outcome
Assigned toThe teammate or group that owns the Task
PatientThe patient connected to the work, when applicable
Due onThe date the Task surfaces in My Tasks
Mark as urgentFlags the Task Urgent in red; it still surfaces on its Due on date
TagYour clinic's own category for organizing work
Tag to systemThe connected system associated with the work
RepeatA schedule for work that genuinely recurs

Build the Task in a sensible order

  1. Write an action-specific Description.
  2. Choose a teammate or group in Assigned to.
  3. Select or verify Patient.
  4. Add Tag to system or a clinic Tag when it will help someone find the work.
  5. Set Due on for when the owner should see the Task in My Tasks.
  6. Add Repeat only for a matching recurring schedule.
  7. Turn on Mark as urgent only for immediate attention.
  8. Review and save.

Choose how Task titles appear with Smart Triage

Clinic Admins can open the full Tabflows web app, select Task Settings, then Smart Triage. Choose one option for the clinic:

  • Use first line of task description as title — keeps the visible title tied to the way the Task begins.

  • Generate AI titles for tasks — shows a short AI-generated title to make longer Task descriptions easier to scan.

Changing this setting changes the title style shown on Task cards. It does not rewrite the Description or change the owner, patient, due date, urgency, tags, or comments.

Protect attention and patient context

Use enough detail to make the work safe and clear. Do not add patient-sensitive information that the owner does not need for the action.

Write useful details

  • Prefer “Call patient about unsigned intake form” over “Follow up.”
  • Include the expected outcome, not protected details the teammate does not need.
  • Use comments for updates instead of rewriting the original instruction without explanation.
  • Reserve urgent for genuinely time-sensitive work so it remains meaningful.
