Track each teammate's certifications so none lapse unnoticed

Every teammate's certifications in one list, with reminders well before each expires and a lapse that changes the schedule.

The situation

Clinic-wide deadlines like your CLIA waiver get attention because there is one of each. Staff certifications multiply: five teammates can mean five CPR renewal dates, five OSHA training dates and different role-specific competencies, each on its own cycle.

Left to each person, some keep up and some do not, and nobody can tell which until an audit catches it or a lapsed certification matters in the middle of a procedure. New hires and role changes slip through too, because nothing prompts a check. Common ones include CPR and BLS, OSHA and bloodborne pathogen training, role-specific competencies for procedures like phlebotomy or injections, and any state-required continuing education.

Steps

  1. Make each certification a Task For every certification a teammate holds or their role requires, such as CPR, BLS or phlebotomy, create a Task assigned to them with the expiration date in Description and a clinic Tag such as Certifications. Together, a teammate's Tasks are their certification profile.
  2. Set Due on 60 to 90 days ahead For anything that needs scheduled training, set Due on 60 to 90 days before it expires, so it surfaces in My Tasks with time to book a course. When they renew, update the expiration date and move Due on ahead to the next cycle.
  3. Keep the master list in one filter The practice manager filters Tasks by the Certifications Tag and saves it under Favorite filters. One person then sees the whole team's certifications at once, even though each teammate completes their own renewals.
  4. Add new hires on day one At onboarding, verify each certification is current, then create its Tasks the same day so the new teammate joins the same tracking as everyone else. Do the same when someone takes on new procedures or equipment that need another certification.
  5. Let a lapse change the schedule If a certification lapses, select Mark as urgent on its Task and @ mention whoever builds the schedule. The teammate comes off the duties it covers until it is renewed, instead of the lapse sitting as a note nobody checks.

The outcome

Every teammate's certifications sit in one list you open in a click, renewals surface with enough runway to finish a course, and a lapse is caught before it becomes a compliance gap or a scheduling scramble. The list stays current as the team grows, without resting on anyone's memory.
