Hand off open work at shift change without losing details
A short written handoff in the same format every shift, pointing to Tasks that already show owner, status and due date.
Tabflows
- Saves about 10 min per shift (est.)
The situation
A shift handoff happens at the worst moment for careful communication: one person is rushing out, the other is just getting settled. What gets through a hallway conversation is whatever feels most urgent. What gets lost is the lower-priority but still time-sensitive item, such as a task due later today, a message that needs a follow-up or a patient worth keeping an eye on.
Nobody drops it on purpose. A detail mentioned once, quickly, with no written record either person can check later, just does not survive the transfer.
Steps
- Keep status current all shift As work moves, set its Task to In progress or Waiting and add a comment when something changes. The handoff can then point to Tasks that already carry their status, instead of retelling each one from memory.
- Hand off at a set time Set aside a few minutes at the same point every shift, not the last thirty seconds before you leave. A note scheduled in My chat for Every weekday can remind you when it is time.
- Give each carried item a new owner For anything the next shift takes over, change Assigned to to the incoming teammate and add a handoff comment saying where it stands. A mention alone does not change who owns it.
- Flag what cannot wait Say when each item matters, due by 3pm or fine until tomorrow. For anything the next shift must see first, select Mark as urgent and set Due on to today, so it shows in their My Tasks with a red Urgent marker.
- Post the same short note every time In the Team view in Team Chat, which both shifts read, write a few lines on what is open, what is time-sensitive and any context the next shift needs. Use Link task to attach the key Tasks, so the next person sees each one's live status, patient and comments.
The outcome
The next shift starts from a written record instead of a thirty-second conversation, and every open item already shows who owns it, where it stands and when it is due. Context stops slipping at the transition, whichever two people happen to be working it.
