Turn overnight answering-service messages into a calm morning review

Every after-hours call lands in one morning queue as a patient-linked Task with an owner, a due date and any provider review it needs.

The situation

Your answering service picks up after hours, captures the message and routes anything urgent. That coverage is useful, but it is not the whole workflow. The real test is the next morning: does the clinic know what happened overnight, is each call tied to a patient, does a provider need to review anything, and who is calling back?

Overnight messages arrive as a summary, an email, a portal note, a voicemail transcription or a call-center message. Each is a fine starting point, but if the handoff depends on someone reading every one carefully and remembering what to do, you have coverage without continuity.

Steps

  1. Give the morning review one owner Choose the teammate who opens the overnight messages first thing. In My chat, they can schedule a note that repeats, such as Every weekday, so the review starts without anyone having to remember it.
  2. Make each overnight item a Task Every overnight message becomes a Task, so nothing sits only in the answering-service dashboard. Use the patient-page Task button so the Task is linked to that patient. A message that needs nothing gets a comment saying so and is marked Done. Put the message, its likely category and the next step in Description.
  3. Give it an owner and a date In Assigned to, choose the teammate or group who will call back, set Due on to today and add a clinic Tag such as After hours.
  4. Mark what needs a provider When a message needs provider review, add a checklist item for it and @ the provider inside that item, so they own the review while the callback stays with its owner. If the message changes the plan for today, select Mark as urgent.
  5. Work the queue from one view Filter Tasks by the After hours tag and save the filter. The reviewer sees each patient, message, owner, due date and open review in one list, without hunting across the answering-service dashboard, the chart and the inbox.

The outcome

The morning review becomes boring on purpose. Everything that came in overnight sits in one queue with a patient, an owner and a due date, provider review is visible, and nobody starts the day in detective mode. That protects patient trust, because the access patients value does not turn into scattered work by morning.
