Practice Brain

Add a source your team asks about every week to Practice Brain, and check that Sidekick answers from it.

6 min5 min

Practice Brain is where your clinic teaches Tabflows what is true for your practice: policies, pricing, services, workflows and patient instructions. Sidekick answers from it, so "What is our cancellation policy?" gets your clinic's answer instead of a generic one.

Start small, with a few current, approved sources your team uses every week, and test each one. Its Awareness tab is the other half: notes Sidekick keeps on how your team works, which you can read and correct.

Topics

  1. Know where Sidekick gets clinic answers Practice Brain holds your clinic's approved documents, such as policies, pricing and SOPs. Its Awareness tab is a document Sidekick writes as it learns how your team works.
  2. Add an approved source Start with one current, approved document your team uses often. Test it in Sidekick before adding more.
    1. Go to Practice Brain and stay on the Documents tab.
    2. Choose where it goes: Add Text & Documents for a Google Doc or Sheet link, Website Sync for your clinic website, or Upload your files for a PDF, CSV, Excel, Numbers or Word file. Only Admins can edit links or Website Sync.
    3. Practice Brain lists each source by its own name, so name it clearly first. Paste the link and save, or drop the file, then wait for it to finish processing.
    4. Ask Sidekick a question the source should answer and compare the answer with the document.
  3. Choose what to add, and what to keep out Good sources are current, approved, clearly named and about one topic: pricing sheets, policies, SOPs, workflows and patient handouts. Keep out patient-specific details, passwords and other secrets.
  4. Read and correct Practice Awareness Sidekick writes Practice Awareness, but your team owns it. Fix anything wrong or out of date so Sidekick works from the current version.
    1. Go to Practice Brain and select the Awareness tab.
    2. Click Edit, make your change, and click Save.
    3. Or tell Sidekick, for example: "Update the awareness: our cancellation policy is now 24 hours."
  5. Decide who can update Practice Awareness By default, Practice Awareness learns from everyone's Sidekick conversations. You can limit updates to Admins; everyone can still read it.
    1. On the Awareness tab, scroll down to Practice Awareness Settings.
    2. Turn on Only Admins can update Practice Awareness if you want tighter control.

Do it in Tabflows

Add one source your team asks about every week, then test it.

  1. Open Practice Brain from the sidebar.
  2. On Documents, add one file under Upload your files, such as your cancellation policy. Leave out patient details and passwords.
  3. Wait for it to finish processing.
  4. Open Sidekick with no patient selected and ask a question the source answers.
  5. Compare the answer with the source. If it's off, fix the wording or conflicts, update it in Practice Brain, and ask again.
