Check vaccine and supply inventory on the same day every week
A weekly count on a fixed day catches low stock and expiring lots, and each one stays an open Task until it is reordered or used first.

The situation
Inventory problems show up at the worst moment. Nobody notices vaccine stock is low until a patient is in the room for their dose, or that a lot expired until someone reads the label mid-procedure. Checking and restocking always loses to patient care in the moment, and the shelf looks fine at a glance.
Vaccines cost the most when they run out: a patient who came in for a dose, a wasted appointment slot and a callback to reschedule. Supplies are no different. A missing suture kit stops a procedure as surely as a missing dose.
Steps
- Put the count on a fixed day Create one Task for the weekly inventory check and assign it to the teammate who owns it, often the CMA. Set Due on to your count day and set Repeat to Weekly, which brings it back on that weekday. A check every Tuesday without fail beats one done whenever there is time.
- Ask the same three questions Add them to Description as checklist items: what is below a two-week supply, what expires within the next 30 to 60 days, and what was used up or opened this week that needs restocking before next week's schedule. Count beyond vaccines, including autoclave supplies, phlebotomy and injection materials and wound care supplies.
- Check expiration by lot A vaccine showing in stock says nothing about whether the lot on the shelf expires next week. Check lot numbers, so an expiring lot is caught before it becomes a wasted dose or an expired vaccine given by accident.
- Make each problem its own Task When something falls below a two-week supply or a lot is close to expiring, create a separate Task for it with an Inventory clinic Tag, so the reorder, or the lot to use first or rotate, stays open until it is resolved. Ordering at the two-week mark leaves room for shipping time.
- Glance daily at what is flagged Save a filter on the Inventory tag with status To do. A quick look each day shows everything already running low between full counts.
The outcome
The count happens every week whether anyone remembers it or not, and every low supply or expiring lot is tracked until it is handled. The owner does not have to hold the schedule in their head, and most same-day inventory surprises stop.
