Cover a teammate's open work when they call out
Their open Tasks are reviewed that morning, time-sensitive work gets a named owner, and nothing waits for their return.

- Saves about 20 min per call-out (est.)
The situation
When a CMA, nurse or front desk teammate calls out, someone covers the shift. What often goes uncovered is their actual work: a prior auth partway through follow-up, a refill being verified, a patient message half answered. A callout comes with no handoff, so that work sits until they are back, even if that is days away.
The person covering can handle what comes in new. They cannot rebuild what was already in flight when it lives in the absent teammate's memory or private notes. Coverage turns reactive and catches only what gets loud, like a patient calling to ask about a refill.
Steps
- Keep status visible every day Make it a habit before anyone calls out: set Tasks to In progress or Waiting as work moves, and record each step in Comments. Coverage then means reading the current state and picking up from there.
- Pull up their open work that morning The office manager or lead opens Tasks, filters Assigned to to the absent teammate and sets Status to To do, which also includes In progress and Waiting. Do this each morning of the absence.
- Decide what needs covering today Sort what must be covered today from what can wait a day. In-progress work comes first, because a prior auth two days into a five-day follow-up window has less runway than a new task that just came in.
- Reassign by name Change Assigned to to a specific teammate who is in, and add a handoff comment with where the work stands. Work left for whoever has time is how tasks get missed, even with enough staff on hand.
- Leave a record for their return When you finish or move a covered Task, add a comment and @ mention the absent teammate. They can see what was covered when they are back, so they neither repeat the work nor miss that it is done.
The outcome
A callout becomes a reassignment, not a reconstruction. Time-sensitive work gets a named owner the same morning, in-progress work keeps its runway, and the returning teammate sees exactly what was handled. The absence stays a manageable disruption instead of a backlog that only shows once it is already a problem.
