Track payment plans and hardship requests so none quietly drift
Every payment plan is written down, checked against its schedule, followed up at the first slip and closed out when it is paid.
Hint Core- Saves about 30 min per month (est.)
The situation
A payment plan agreed in conversation and then left alone tends to drift. A payment slips, nobody notices because nothing is watching, and by the time the gap is big enough to raise, the conversation is harder than it needed to be.
Plans often live outside the billing system, as an informal agreement noted somewhere, so nothing flags a missed payment. Hardship is an uncomfortable topic, and staff are understandably slow to revisit it. Without a written policy, who gets a plan and on what terms can also depend on who happened to take the conversation that day.
Steps
- Put your policy in Practice Brain Write down your payment plan and hardship policy, and have an Admin add it in Practice Brain with Add Text & Documents, or upload it there as a document. Anyone handling a request can then ask Sidekick what the policy says, so the terms are applied evenly, with room for genuine individual circumstances, and do not depend on who is having the conversation.
- Log each plan as one Task with its full terms Use the patient-page Task button, confirm Patient, and write the total amount, the schedule and any relevant hardship context in Description. Choose one owner in Assigned to and add a clinic Tag such as Billing, so every open plan shows on one filtered list.
- Bring it up on each payment date Set Due on to the next payment date, so the Task reaches My Tasks the day a payment is due. Compare what came in with the schedule, then move Due on to the following date. If payments run through Hint Core, Sidekick can show which invoices are paid and which are still due.
- Check in at the first missed payment When a payment has not come in, reach out with a proactive, low-pressure check-in and record it in a comment. A payment a week late is worth noticing at a week, not at two months.
- Close the plan out when it is fulfilled Add a final comment that the plan was completed and mark the Task Done. The completed Task stays in the patient's Task history for the practice's records and for any future conversation with that patient.
The outcome
Every plan has its terms written down, its payments compared against the schedule, and a check-in at the first slip instead of a hard conversation months later. The same policy applies to every patient, so hardship arrangements stay genuinely helpful for the patient and sustainable for the practice.
