Log every patient complaint so repeat problems show up

Every complaint, however small, lands in one log with its follow-up tracked, and one person reviews it for repeats.

The situation

A single complaint is usually easy to handle. Whoever hears it apologizes, fixes what they can and moves on. But complaints land with many different people, at checkout, on a call or in a message, and each one lives only in the memory of whoever heard it.

So nobody sees the pattern. The front desk does not know the nurse heard the same thing yesterday, and three people can mention the same scheduling issue in two weeks without anyone connecting them. A promised follow-up, like checking that a billing correction went through, has nothing prompting anyone to circle back.

Steps

  1. Log every complaint, even the small ones An offhand comment at checkout is as worth logging as a written grievance, because small ones repeat more often and show a pattern first. Make it a Task linked to the patient, and write what happened and who heard it. Acknowledge even a simple complaint the same day, because silence after a complaint often does more damage than the original issue.
  2. Make logging take seconds Create a task template in Task Settings, under Templates, with a clinic Tag such as Complaints and the log's owner in Assigned to. You can also ask Sidekick to create the Task in plain language, so logging is as quick as jotting a note, then add the Complaints Tag so it lands in the log.
  3. Track the follow-up as its own step When you promise a fix, add it as a checklist item and set the status to Waiting until it is confirmed. Mark the Task Done only when the fix actually happened, not because someone said they would handle it.
  4. Flag the serious ones Select Mark as urgent on a complaint that needs immediate attention, and set Due on to today, so it shows in My Tasks now with a red Urgent marker and is not buried among small issues. A serious complaint may need a same-day response with a clear next step, even if the full fix takes longer.
  5. Review the log for repeats on a set day The one person who owns the log, often the practice manager, saves a filter for the Complaints Tag under Favorite filters. Every week or two, they read it for the same issue showing up more than once.

The outcome

Complaints that land with different people at different times end up in one place, so the third mention of the same issue gets noticed. Promised fixes have a visible status, and a real process problem gets caught while it is still small enough to fix quietly, before a patient escalates or leaves.
