Make front desk overflow calls visible before you hire more help

Every overflow call that creates work becomes an owned, patient-linked Task, so you can see what is really overloading the desk.

  • Saves about 2 min per call (est.)

The situation

Overflow usually looks like a staffing problem. The phone rings while someone is checking in a patient, a refill call lands during a visit, a new patient asks a membership question while the team is closing yesterday's follow-ups, and a form request becomes a sticky note. At some point more help feels like the obvious answer.

Answering the call is only the first step, though. The clinic still has to act on what the call created, and if those follow-ups live in separate notes and systems, another person only spreads the same friction across more people.

Steps

  1. Set up a route for each kind of call Decide which overflow calls the front desk can handle, which need clinical review and who owns each kind of follow-up. Have an Admin create a Task group for each shared route, such as Front Desk, Billing or Providers.
  2. Make every call that creates work a Task Whoever takes the call, in the office or remotely, uses the patient-page Task button so the Task is linked to the patient. Write enough in Description for the next person to move it forward, and set Due on.
  3. Route it by request type In Assigned to, choose the group or teammate for that route, and add a clinic Tag for the request type, such as Refills, Billing or Forms. Each Task gets one owner, so nobody assumes someone else has it.
  4. Escalate clinical questions instead of guessing When a call raises a clinical question, assign the Task to the provider or your Providers group. When it cannot wait, set Due on to today and select Mark as urgent.
  5. Read the pattern before you add people Filter Tasks by Tag, Assigned to and Status, and save the views you check often. You can then see whether the problem is volume, complexity, poor routing, repeated patient confusion or slow follow-up before you decide to hire.

The outcome

Overflow calls stop becoming a side pile of notes and reminders. Each one is patient work with an owner and a status, so the work gets calmer, and when you do talk about more help, you decide from what you can see.
