Work every insurance denial before its appeal window closes
Each denial is logged the day it arrives with its real deadline, decided fast, and closed with its outcome on record.

The situation
A denial is often not final. Most have an appeal window or a peer-to-peer review option, but that option has a clock. A denial notice for a claim, a prior authorization or a referral is paperwork, easy to set aside for a quieter day, and the window does not wait for one.
By the time someone circles back, often because a patient asks about a bill or a medication still pending, the window has closed. A denial is also a decision point, not an open wait like a pending prior authorization. You have to choose quickly: appeal, request a peer-to-peer, or accept it and move to an alternative.
Steps
- Log the denial the day it arrives Create a Task with the patient-page Task button and confirm Patient. In Description, write what was denied, the payer and the exact appeal or peer-to-peer deadline, worked out now rather than estimated later. Assign it to the person who tracks denials, set Due on to today and add a Denials clinic Tag.
- Decide right away Choose appeal, peer-to-peer, or accept and move to an alternative, and record the decision in a comment. Sitting on a denial without a decision is the same as letting the window close. When the deadline is close, select Mark as urgent.
- Request a peer-to-peer promptly Peer-to-peer reviews often have tighter windows than written appeals, and lining up the ordering provider with the insurer takes lead time. Send the request right away, @ mention the provider in a comment to find a time, and set the Task to Waiting while you wait on the insurer.
- Bring the provider in for the clinical part only Keep the Task with the person tracking it, who handles the deadline and the documents, and add a checklist item with @ and the provider's name for the appeal argument or the peer-to-peer call. For a prior authorization appeal, Sidekick can draft a starting letter from the chart for the provider to review.
- Close it with the outcome Before you mark the Task Done, add a comment that says appeal successful, denial upheld or alternative pursued. Filtering the Denials tag by Done later shows patterns, such as a payer or request type that denies more often.
The outcome
Every denial has its real deadline from the day it arrives, a decision made quickly and an owner who is not the provider. Fixable denials get recovered instead of lost to a clock nobody was watching, and the closed Tasks show which payers and requests deny most.
