Take a refill from request to reply without losing your place

Each refill request is a Task with the chart context, one owner and a checklist, so you always know where it stands.

The situation

A refill request starts in your messaging app. You check the chart for the last visit and whether the condition is controlled, send the prescription, reply to the patient, then document the refill. No single refill is hard, but every one bounces across several systems, and none of them holds the whole request.

Then you get interrupted halfway through. When you come back, you cannot remember whether you already sent that refill or only checked the chart. Spread across systems like this, the chance of sending the wrong dose, missing a contraindication or refilling a medication that should have been discontinued goes up.

Steps

  1. Turn the message into a Task In a linked Spruce conversation, select the lightbulb and review the recommended Task, or use the patient-page Task button. In Description, name the medication, dose, quantity, pharmacy, the requested action and how urgent it is, and confirm Patient.
  2. Give it one owner and a checklist In Assigned to, choose the provider who will make the call. Use the checklist control in Description for each step: review the chart, send the prescription, document it and reply to the patient. Check each item off as you finish it, so after an interruption the Task shows where you left off.
  3. Pull the chart context with Sidekick With the patient selected, ask Sidekick to list the current medications with when each was started and last filled, and what happened at the last visit. The provider checks the answer against the chart, including allergies and monitoring needs, before deciding.
  4. Draft the reply with Sidekick Ask Sidekick to draft a Spruce reply that says the refill was sent, or what happens instead, with the expected timing and what to watch for. Review the message card, choose Navigate & paste, check the text in Spruce and send it yourself.
  5. Set any follow-up before you close it If the refill needs a repeat lab or a check-in, create a follow-up Task with its own owner and Due on, or ask Sidekick to create the reminder. Mark the refill Task Done only when every checklist item is checked.

The outcome

Every refill has a visible status, one owner and enough context to make the right call. When you get interrupted, you come back to the Task and pick up where you left off, with no guessing, no re-checking and no duplicate prescriptions.
