Keep every provider's DEA registration and license from lapsing
A second person holds each provider's dates, a reminder comes at 90 days, and every renewal is confirmed before it is closed.

The situation
In a small or solo practice, DEA registration and medical licensure often rest on the provider's own memory and one notice arriving by mail or email. Nobody double-checks the date, because credentialing is not anyone's explicit job the way it is at a larger organization. A busy provider gets the notice at a bad moment and files it as something to deal with soon.
Soon can slip past the deadline, and the stakes are high. A DEA registration that lapses without a timely renewal means the provider legally cannot prescribe controlled substances from the moment it expires, regardless of whether anyone realized the date had passed. The practice can find out from a rejected prescription at the pharmacy. A lapsed medical license is an immediate, hard stop too, with real legal exposure for any care given after it. DEA registrations typically renew every three years, and the renewal notice sometimes arrives with limited lead time.
Steps
- Log each date apart from the notice For each provider, create one Task for the DEA registration and one for the medical license, with the exact expiration date in Description. Do not wait for the DEA's or the state board's notice to start the clock.
- Put a second person on the same date In Assigned to, choose a practice manager or office admin rather than the provider, and add a checklist item for filing the renewal with @ and the provider's name. Both of them now hold the deadline, so one missed notice or one busy stretch is no longer a single point of failure.
- Flag it at 90 days, then check it started Set Due on to 90 days before expiration, and when it comes up, @ mention the provider in a comment. Create a second Task with a Due on closer to the date to confirm the renewal has actually started, not just been noted.
- Track state registrations alongside Some states add their own controlled substance registration with its own deadline. If yours does, give it its own Tasks next to the DEA date.
- Confirm the renewal before you close it Do not mark the Task Done because the provider said it was handled. Confirm the renewal went through and the new registration or license number is on file, add a comment with the new expiration date, then create the Tasks for the next cycle.
The outcome
Every provider's DEA and license dates are held by two people and flagged well ahead, so a busy stretch for the provider does not leave the practice's ability to operate resting on one person remembering one date. Renewals are confirmed and on record, not assumed.
