Tabflows 101, Module 1 · Admin track 15 min · Team track 9 min

Create your clinic account, put Tabflows beside the systems you use, and invite your team, so everyone works in one clinic.

On the Team track: You've joined your clinic, installed Tabflows in Chrome, and signed in.

Everything in Tabflows happens inside your clinic's account, so one person sets it up and brings the team in. That is usually a clinic Admin, who manages the team and billing. Team members do the day's work in Tasks, Team Chat and Sidekick, the AI assistant inside Tabflows. Joining an existing clinic? [Finish your account from the invitation](https://www.tabflows.com/university/library/admin-and-settings/member-sign-in-account-setup), then start at step 2.

Tabflows runs as a Google Chrome extension beside your EHR and other systems. Nothing moves out of them, and Tabflows never stores their logins. Signing up accepts the Terms of Service, Privacy Policy and BAA for your clinic, so whoever signs up needs the authority to do that.

## Get into Tabflows (Team track)

Everything in Tabflows happens inside your clinic's account. Your clinic is already set up, so you don't create a new one: your invitation connects your own sign-in to it.

Tabflows runs as a Google Chrome extension beside your EHR and other systems. Nothing moves out of them, and Tabflows never stores their logins.

### Create your clinic account (Admin track)

One Admin creates the shared clinic account that everyone else joins. Have your practice name, work email and main EHR ready.

1. Go to app.tabflows.com/sign-up and enter your practice name, work email, and first and last name.
2. Select your EHR (or **Other**), plus any additional systems your clinic uses.
3. Accept the **Terms of Service** and **Privacy Policy**, and confirm you have the authority to sign the **Business Associate Agreement (BAA)** for your clinic.
4. Click **Start free with Core**, then open the verification email and click the link.

Tip: If the verification email doesn't arrive within a few minutes, check spam or junk.

### Add Tabflows to Chrome and sign in (Admin track)

Tabflows runs as a Chrome extension. Its sidebar appears on the right side of your screen, beside the systems you already use.

1. Go to tabflows.com/extension, click **Add to Chrome**, and confirm.
2. Click the puzzle piece in Chrome's top-right corner, find Tabflows, and click the pin icon.
3. Open a system you work in, such as Elation, Hint or Spruce, and sign in to the Tabflows sidebar.

Tip: When your clinic's name shows in the sidebar, you're signed in to the right clinic.

### Invite your team (Admin track)

Only Admins can invite people. Each person gets an email to create their own sign-in and join your clinic.

1. Open Tabflows and, under **Admin**, select **Team**.
2. Select **Invite team member**.
3. Enter the teammate's name and email address, choose **Admin** or **Team**, and tick the confirmation box.
4. Select **Send invite to their email**.

Tip: Prefer help? Email team@tabflows.com with each person's name, work email and role, and the Tabflows team can create the accounts.

### Choose Admin or Team for each person (Admin track)

**Admin** can do everyday work and also manage team members, invitations, billing and clinic-wide settings. **Team** can use Tasks, Chat and the clinic's shared setup, without the admin controls.

Tip: To change someone's role later, email team@tabflows.com with their name, email and the role you want.

### Fix an invite or remove someone who left (Admin track)

An Admin can resend, copy or cancel an invite that has not been accepted, and archive people who leave. A clinic always keeps at least one Admin.

1. For a pending invite, open **Clinic Settings → Team**, open the invitation's menu, and choose **Resend invitation**, **Copy invitation link** or **Cancel invitation**.
2. Before removing someone, check their open Tasks and reassign anything that still needs an owner.
3. Select **Team** under **Admin**, click the **three dots (⋯)** beside their name, choose **Archive user**, and confirm.

Tip: Never send one person's invitation link to someone else.

### Know where clinic settings live (Admin track)

**Clinic Settings** holds your clinic's shared setup. As an Admin you also see team, billing and clinic-wide activity.

1. Under **Organization**: **Practice Brain**, **Tasks** and **Task Settings**, **Branding** for generated documents, and **Marketplace**.
2. Under **Admin**: **Team** for people and roles, and **Analytics**, where you can switch from **My stats** to **Clinic**.
3. Under **Admin**, open **Billing** to see current pricing. Only Admins can manage billing or request changes.

### Accept your invitation (Team track)

Your clinic is already set up, so you don't create a new one. Your invitation connects your own sign-in to it.

1. Open the invitation email from your clinic Admin and click **Accept Invitation**.
2. Create your account, set a password, review the Terms of Service and Privacy Policy, and click **Accept Invitation**.

Tip: If Tabflows created your account for you, follow the link in the welcome email instead. There's no separate invitation to accept.

### Sign in (Team track)

1. Open the Tabflows sidebar or go to app.tabflows.com, enter your email, and select **Get Code**.
2. Open the newest Tabflows email, select **Sign in**, then select **Continue** on **Finish signing in**.

### Put your everyday systems in the sidebar

Add the systems you use most so they're one click away. Your sidebar is personal: adding a system doesn't change anyone else's view.

1. Open the Tabflows sidebar and click the **+** button.
2. Search for the system, such as Elation, Hint or Spruce, and click it.
3. A green checkmark means it's been added.

Tip: Start with the two places you visit most for the same patient.

### Link a patient across your systems

When you open a patient, Tabflows suggests the matching profile in your other systems. Confirm it once and the link is saved for your whole clinic.

1. Open the patient in your main system.
2. In the sidebar, click an **orange** system button to open the suggested match.
3. Check that the name, date of birth and other details match.
4. Hover over the system icon and click the **link (chain)** icon. The button turns **dark blue**.

Tip: Don't confirm a link if any detail is uncertain. Similar names and family members need an extra check.

### Choose how Tabflows opens

Tabflows can sit beside the page you're working in or open in its own browser tab. This only changes your view.

1. In app.tabflows.com, select **Appearance** under **Personal**.
2. Choose **Tab view** or **Sidebar view**, and change **Sidebar zoom** if text is too small or too large.

Tip: The gear in the extension has quick options: **Clinic settings**, **Clear cache**, **Update extension** and **Logout**.

  Markdown: https://www.tabflows.com/university/library/admin-and-settings/change-how-tabflows-opens-and-looks.md

### Adjust your own settings

**Profile → Account** holds settings that affect only you.

1. Select **Profile** under **Personal**, then open **Account**.
2. Under **Tasks**, choose your default assignee, turn **Email notifications for tasks** on or off, and choose whether Enter sends a comment.
3. Under **Sidekick**, turn **Screen awareness** on or off, hide smart buttons, or turn off automatic Draft Assist generation.

Tip: Turning Task emails off doesn't remove anything. Your Tasks still appear in your list.

### Get help when you're stuck

The **Support** button at the bottom right of the sidebar opens a chat with the Tabflows team. Your chat history is saved.

1. Click **Support**, describe the problem, and attach a screenshot if it helps.
2. Or email team@tabflows.com.

Tip: You can also ask Sidekick to report a bug or feature request. Leave out patient names and details.
