Every waitlisted person has a dated Task and a regular check-in, so an opening is filled from a list that is still current.

## The situation

Once your panel fills, the waitlist is where the extra demand goes. The trouble is that it usually lives in a spreadsheet, a notebook or a running note that nobody has a reason to open until a spot appears. Months pass with no contact, and interest fades or the person finds care elsewhere while they wait.

Then a spot opens. You call the first name and they have moved on, then the next, and what should have been a same-week fill turns into weeks of outreach.

## Steps

1. **Make each person on the waitlist a Task** Write their name, the date they joined and how they prefer to be contacted in Description. Add a Waitlist clinic Tag, which an Admin creates once in Task Settings, and assign the Tasks to the one teammate or group who runs the list.
2. **Check in every few months** Set Due on for the next check-in. When it comes up, send a short still-interested message, note the answer in a comment and set a new Due on. Each check-in confirms who is still waiting and keeps your clinic in their mind.
3. **Agree on one fill order** Decide once how openings are filled, by join date or with factors like insurance fit or clinical need, and use the same rule every time. Save a filter on the Waitlist tag so whoever fills a spot sees the whole current list.
4. **Work an opening the same day** When a spot opens, open the Task for the next person in line, set Due on to today and select Mark as urgent. It shows in My Tasks with a red Urgent marker, and the person hears from you while they are still interested.
5. **Keep a no-for-now on record** If someone says not right now, say so in a comment, keep the Task open and set a later Due on. If they found care elsewhere, note it and mark the Task Done, so it leaves the open list but the record stays.

## The outcome

Your waitlist stays current, so when a spot opens you are calling people who still want it and the opening fills fast. The list stops being a parking lot and becomes a reliable way to fill a full panel.

Hey Tabflows, list the open waitlist tasks across the clinic, oldest first, with the date each person joined, so we reach the next person in line when a spot opens.
