## The situation

Your scheduling system already shows who missed a visit. The list is not the hard part. It is a report someone has to remember to open, so on a busy day it gets glanced at and set aside, and by the time anyone circles back the same-day window has passed.

Not every no-show is equal either. A missed annual physical can wait for a rebooking call. A missed follow-up on a new medication, an abnormal result or a new symptom needs outreach today, and in a flat list it gets the same reminder as everything else.

## Steps

1. **Make each no-show a Task** At the same time every day, pull the day's no-shows. Use the patient-page Task button or + in Tasks. Write the outreach in Description, confirm Patient, and set Due on to today.
2. **Give the day's list one owner** In Assigned to, choose the teammate covering the front desk today. One named person works the whole list before the day closes.
3. **Flag the visits that cannot wait** When the missed visit was for a new symptom, a medication check, an abnormal result, a post-hospitalization check or anything else time-sensitive, select Mark as urgent and @ mention the provider in a comment. The Task carries a red Urgent marker, and the provider knows to weigh in.
4. **Record what happened before you close it** Add a comment that says contacted, rebooked or escalated. A voicemail with no answer is an attempt, so keep the Task open and set a new Due on.
5. **Change the conversation for repeat misses** When a patient keeps missing visits, say so in the comment and ask about the barrier, such as transport, cost or schedule. Another reminder call rarely fixes it.

## The outcome

Every missed visit has an owner and a same-day deadline, the clinically urgent ones are seen first, and the Task history shows who was reached and who still needs a call. You catch the patient whose missed follow-up was a sign something was wrong before it becomes an ER visit.

Hey Tabflows, create a same-day outreach task for each patient I list who missed a visit today, assigned to the front desk, and tell me which of them already had a no-show task across the clinic this year.
