Every scheduled visit is checked a day ahead by one owner, and anything that comes back wrong reaches the patient before they arrive.

## The situation

Verification usually fails on timing. It happens minutes before the visit, by whoever has a free moment, with no record of what was checked. When the plan changed in January and nobody updated the file, you find out with the patient in the waiting room and the provider's schedule backing up.

This matters even when visits are not billed to insurance. Many DPC and hybrid clinics still send patients out for labs, imaging or specialist visits that route through insurance, and a coverage gap found at the imaging center is still yours to untangle. Membership-only DPC practices do not bill insurance for visits, but many still verify it for labs, imaging and referrals to outside providers, and hybrid practices that bill insurance for some services need verification before every visit.

## Steps

1. **Name one owner** Pick one person, usually front desk or office admin, to own verification for every scheduled visit, and assign every verification Task to them in Assigned to. Others can help on a big schedule, but there is no doubt about who makes sure tomorrow is checked today.
2. **Build the check once as a template** Create a task template in Task Settings, under Templates, with the four checks as checklist items: active coverage on the date of service, the correct payer and plan, referral or prior authorization requirements, and outside lab and imaging coverage if the visit is likely to produce an order. Give the template an Insurance clinic Tag.
3. **Check tomorrow's schedule today** Pull the next day's schedule and create a Task from the template for every visit that is not already confirmed. Confirm Patient, add the visit date to Description, set Due on to today and work all four checks at once.
4. **Flag anything that does not check out** Do not fix it quietly or let it go. Add a comment that says what is wrong, select Mark as urgent and reach the patient before the visit. If a referral or authorization is missing, @ mention the provider in the comment so they know before the visit starts.
5. **Keep the list visible** Each teammate on the front desk saves the same filter on the Insurance tag with status To do, so everyone sees what is still outstanding. Mark a Task Done only when all four checks are clear, and the status stays readable when the owner is out sick or buried in walk-ins.

## The outcome

Coverage problems surface a day early, when they are a phone call the patient makes from home instead of a scramble in the waiting room. Providers know about a missing referral before the visit, and you stop the slow pile-up of denied claims and surprised patients.

Hey Tabflows, create a verification task for each patient I list from tomorrow's schedule, assigned to the front desk and due today, with a checklist for coverage, payer and plan, referral or authorization needs, and outside lab or imaging coverage.
