## The situation

A signed employer agreement feels like the win, but the members come later, one employee at a time. Benefits emails get lost among other HR messages, enrollment forms get started and abandoned, and the deal can look fine on paper while uptake quietly falls short.

The work also changes hands. Before signature it is relationship work: proposals, follow-up calls, a second touch after a promising first one. After signature it is enrollment work, which needs its own owner and its own tracking. Handle both the same loose way, and deals stall before signature while enrollment trails off after it.

## Steps

1. **Give each prospective employer a Task** Write the employer's name in Description and add the stages as checklist items: initial conversation, proposal, agreement signed, employee enrollment, onboarding complete. In Assigned to, choose whoever owns business development. Set Due on for the next touch and note what it is in a comment, so a good conversation does not go quiet in a busy week.
2. **Hand off at signature** When the agreement is signed, create an onboarding Task for that employer and assign it to the front desk or office admin teammate taking over. The business development owner adds a handoff comment, so the new owner starts with the context.
3. **Track each employee, not the headcount** In the onboarding Task's Description, add a checklist item for each employee as they start enrolling, and check it off when they finish. Knowing a company of fifty signed tells you nothing about how many actually enrolled.
4. **Nudge anyone who stops halfway** Each time the onboarding Task comes due, look at the open checklist items. Reach out to anyone who started but did not finish, note the attempt in a comment, and set a new Due on. A timely nudge recovers them, and a month of silence loses them.
5. **Check in with HR after onboarding** When enrollment settles, mark the onboarding Task Done and create a check-in Task for the business development owner with Repeat set to a regular interval, such as Monthly, so the check-ins keep coming. Share the enrollment numbers with the HR contact and ask about any friction, well before renewal comes up.

## The outcome

Every employer sits at a known stage with an owner and a next step, and after signature you can see how many employees actually enrolled and who stalled. The signed agreement turns into the enrollment growth it was supposed to deliver, and the HR contact hears from you before renewal, not only at it.
