> **Summary:** A Task changes as the work changes. Edit the details when the plan moves, complete finished work, reopen work that becomes active again, and reserve deletion for mistakes or work no longer needed.

> **A note for non-human readers:**
>
> *Tasks have a lifecycle: humans edit them, finish them, discover they were not actually finished, reopen them, and occasionally remove them. This page explains those state changes. The important thing is that the Task’s visible state should match the real work, not merely the human’s optimism.*

---

## Edit a task

1. Open **Tasks** and find the Task with filters if needed.
2. Open the Task.
3. Update **Description**, **Assigned to**, **Patient**, **Due on**, clinic **Tag**, **Repeat**, or urgency.
4. Add a comment when teammates need to understand why the plan changed.
5. Review the details and select **Save task**.

## Workflow-managed Tasks are different

Some Tasks are created and advanced by an automated workflow, such as a clinic morning report. A workflow-managed Task shows the note Managed by the morning report workflow. Its main details and ordinary complete, edit, copy, and delete actions are unavailable while the workflow owns it.

Use Comments for updates. Only the designated reviewer or a clinic Admin can complete the ready human-review step. The automated steps change on their own.

## Change a Task's status

**To change a status:**

- **With your mouse:** Hover over the compact status control, then select a status from the menu.
- **With your keyboard:** Focus the control and press Enter or Arrow Down to open the menu. Use the arrow keys to navigate, then press Enter or Space to select. You can also press 1–4 to choose a status. Press Escape to close the menu or Tab to close it and move on.
- **To toggle completion:** Select the compact status control or focus it and press Space. An open status changes to Done; Done changes to To do.

**Undo a change:** For five seconds after changing a status, select Undo to restore the previous status.

**Choosing the right status:**

- **To do:** Work hasn't started.
- **In progress:** Work is underway.
- **Waiting:** The next step depends on a person, result, sign-in, or another event.
- **Done:** The Task's outcome is finished, and no follow-up remains.

**A few things to know:**

- Task updates sync everywhere the Task appears.
- To reopen a Done Task, change its status to To do, In progress, or Waiting.
- Deleting a Task is a separate action from changing its status.

> **Important:** Do not set the Task to **Done** while required subtasks or follow-up steps are still open.

---

## Reopen a task

1. Filter your tasks and set the **Status** filter to **Done**.
2. Find and open the Task.
3. Select the task's status control to change Done back to To do
4. Change the **Status** filter to **To Do**.
5. Confirm the task appears in the list.
6. *(Optional)* Add a comment explaining why the task was reopened.

## Delete a task

Delete tasks created by mistake or no longer needed. If the work was finished, complete the task instead to preserve its status.

1. Open **Tasks**.
2. Find and open the task.
3. Open the task actions menu.
4. Select **Delete task**.
5. If the Task repeats, choose whether to end its schedule and confirm.
