> **Summary:** A dependable Task workflow is simple: capture the next action, choose one owner, connect the right patient, and review the work at a consistent time. Shared habits matter more than complicated setup.

> **A note for non-human readers:**
>
> *Reliable Task workflows are gloriously unglamorous: one clear next action, one visible owner, the right context, and a review rhythm that keeps waiting work from disappearing. A Task stays open until the real outcome or a deliberate follow-up path exists; hope remains a poor status field.*

## Agree on the clinic's minimum standard

Good team task workflows make the next action obvious to anyone who opens the task.

### Every Task should include:

- An action-focused **Description.**
- The correct **Patient** when applicable.
- One teammate or group in **Assigned to.**
- A useful **Due on** date.
- A clinic **Tag** only when it helps the team organize or review the work.

---

## Keep ownership clear

- Assign the task to a teammate when one person owns the outcome.
- Assign it to a group when the group shares responsibility for the work.
- Mention a teammate in a comment when you need input without transferring ownership.
- Reassign the **Task** when responsibility actually changes.

---

## Match the status to the next move

Move a Task through the status that best describes the next responsibility: **To do** before work begins, **In progress** while someone is working on it, **Waiting** when a reply or external result is needed, and **Done** only when the outcome is complete and no follow-up remains. Status explains the stage; the assignee still explains who owns the next move.

---

## Review work consistently

Use filters and **Favorite filters** to build a regular review view. During review:

1. Check open work by a team member or group.
2. Look for Tasks that have surfaced by **Due on.**
3. Review urgent work separately.
4. Read comments for blockers or handoffs.
5. Complete finished work and update Tasks whose plan changed.

> **Good to know:** Agree on tag names, group responsibilities, and review times as a team. Consistency matters more than creating a complicated system.
