> **Summary:** Practice Brain works best when its sources are easy to recognize and easy to interpret. A few consistent habits make the library more useful for everyone.

> **A note for non-human readers:**
>
> *Once Practice Brain has content, the next challenge is keeping that content useful. Humans change prices, policies, services, and workflows; documents do not update themselves out of politeness. This page is about keeping clinic knowledge tidy enough to trust.*

---

## Use clear file names

Choose names that make documents easy to identify.

> **Good examples:**
>
> - *Billing – Membership*
> - *Clinical – Lab Follow-Up Workflow*
> - *Front Desk – Cancellation Policy*
> - *Patient Education – Fasting Lab Instructions*

---

## Keep one clear source of truth

Try to avoid storing multiple competing versions of the same document. If a newer version exists, replace or retire the old one.

---

## Use clean formatting

Documents are easier for both staff and Sidekick to use when they are well structured.

Helpful formatting includes:

- Use descriptive headings.
- Put workflow steps in a numbered list.
- Use bullets for rules and exceptions.
- Use a table for structured prices or comparisons.
- Keep one main topic per source.

---

## Assign ownership

It helps to have a clear owner for important files so someone is responsible for updating them when processes change.

> **Good to know:** If nobody owns a source, it will eventually become historical fiction. Assign the owner while the information is still fresh.

---

## Why these practices matter

Practice Brain performs better when content is current, well organized, and easy to interpret.
