Make every action in a visit plan a Task with one owner and a due date, and check each Task before it reaches the team.

## Why it matters

The follow-up from a visit lives in the assessment and plan: orders, refills, referrals and callbacks. One of them can easily stay buried mid-paragraph and never reach the person who has to do it.

A Task keeps that work visible after the visit. It is tied to the patient, owned by one person or group, and due on a date. When every action in the plan is either done in the chart or a Task with an owner, nothing waits on anyone's memory.

## Three ways to turn a plan into Tasks

Read the plan first and list each action. Make the chart changes that are yours in your EHR, such as the problem list, medications and orders. Every action someone else will do becomes a Task.

When one patient outcome needs several related actions, make one Task and add them as checklist items in **Description**. An @ mention on a checklist item doesn't hand over the Task: it puts the Task in that teammate's **Mentions** and leaves **Assigned to** as it is.

Tabflows gives you three ways to make Tasks.

### From the patient

Select the Tabflows button beside the patient's name in your EHR, then **Add a task**, which shows when Tasks is on for your account. Starting from the patient links the patient for you. Use it when you write Tasks one at a time as you read the plan.

You can also start a Task from the sidebar or the Tasks panel. Then you check or choose **Patient** yourself.

### From a suggestion

On a patient's Elation chart, the lightbulb beside the Tabflows button (AI task recommendation) suggests one Task at a time from the newest chart items.

In Spruce, the same lightbulb sits in the **AI DRAFT** bar, which shows on a conversation linked to the correct Tabflows patient when Sidekick is on for your account. Both need desktop Chrome with the Tabflows extension active, Tasks on for your account and **Hide smart buttons** off. That switch is at **Settings** → **Clinic settings** → Profile → **Account** → **Sidekick**.

Review the suggestion's patient, description, owner, due date, tag and urgency, or select **Edit details** to change them. **More ideas** asks for a different one.

To refine a suggestion, type a direction in **Add directions for more specific tasks...**, such as "Make this task non-urgent, assign it to Billing, and set it due tomorrow," then select **More ideas**.

A **Similar open task** line means the patient may already have this work, and saving still creates a second Task. **Save task** creates the Task at once, with no second approval step.

### From Sidekick

When the plan has several actions, paste it into Sidekick with the patient connected and ask for the Tasks in plain words, for example "Create a Task for each action in this plan, with one owner and a due date each. Give the lab callback to the Front Desk group for Friday." You can ask it to include a short summary of the last visit in each Task, so its owner has the context at hand.

Sidekick creates each Task as soon as it reads the request and shows its card. It assigns a Task to you unless you name someone. Where your clinic and you let Tabflows take Tasks, a Task with a checklist goes to Tabflows instead. The Task already exists when its card appears, so fix anything wrong in **Tasks**.

Before you make new Tasks, you can ask Sidekick "What open Tasks do I have for this patient?" Add "across the clinic" to search everyone's Tasks. Otherwise Sidekick may search only the Tasks assigned to you.

The [Visit Notes to Tasks page](https://www.tabflows.com/workflows/visit-notes-to-tasks) is a written-up example of where a clinic can take this workflow. Today you make the Tasks in the three ways above, and you make the chart changes in your EHR yourself.

## Check each Task before you hand it off

Before you save a Task or hand it off, confirm that:

- The patient is correct.
- **Description** states the next action, its expected outcome and the context its owner needs, so they can act without messaging you. It leaves out clinical detail that doesn't change the next step.
- One teammate or group owns it in **Assigned to**.
- **Due on** is set for when the work should surface in **My Tasks**. Use **Mark as urgent** only when it can't wait for that date.
- Every action in the plan is covered, and none duplicates work already open for the patient.

Once a Task is saved, keep its story on it. Add outreach attempts, decisions, blockers and handoff notes in its **Comments**, so whoever picks it up next sees what already happened.

## Do it in Tabflows

After your next visit, take the plan in the note and make sure each action is done or has a Task before you close the chart.

1. Open the visit note and list every action in the assessment and plan: each order, refill, referral and callback.
2. Make the chart changes that are yours in your EHR.
3. For each action someone else will do, select the Tabflows button beside the patient's name and choose **Add a task**, or ask Sidekick to create the Tasks from the plan.
4. Write the next action in **Description**, choose one owner in **Assigned to**, set **Due on**, confirm **Patient** and select **Save task**. For Tasks Sidekick made, check the same fields on each card.
5. Open **Tasks** and check that every action on your list is either done in the chart or has a Task with an owner and a due date.
